Bulk Enrol Learners to Courses

This article explains how the Admin can bulk enrol Learners to courses.

1. Bulk enrol all Learners on your platform to a course

Step 1: Navigate to the 'Courses' page and select the course you want to bulk enrol Learners to - this opens up the create/edit journey for that course.

Step 2: Go to the 'Payments' page and set the default 'Access & Pricing Settings' rule to 'Auto-Enrol Learners' and click 'Save'.

• If the course is already published, all Learners on your platform will be automatically enrolled to the course when you click 'Save'. And all future Learners who register to your platform will be automatically enrolled to the course.
• If the course is not published, all Learners on your platform will be automatically enrolled to the course when you click 'Publish'. And all future Learners will be automatically enrolled to the course when they register to your platform.

If you want to stop Learners being automatically enrolled to the course, you can change the default rule at any time. Alternatively your can remove the course from sale so that it no longer appears in the Catalogue.

But this will NOT unenrol Leanrers from the course. It will just stop new Learners who register to the platform from being automatically enrolled.

2. Bulk enrol Learners registered to a specific Membership Product to a Course

Important: This feature is only available if you have Membership Products enabled on your ClickLMS platform. If you would like to enquire about this feature please contact support@clicklms.com

There are two ways you can do this which are covered below:

• From the Membership Product: You can bulk enrol everyone registered to a specific Membership Product to one or more courses.
• From the Course itself: You can tailor access rules for Learners registered to specific Membership Products from the course 'Payment' page.

From the Membership Product

You can bulk enrol everyone registered to a specific Membership Product to one or more courses from the create/edit Membership Product journey.

Step 1: Navigate to 'Settings' in the header menu and go to the 'Membership Products' page.

Step 2: Select the applicable Membership Product and go to the 'Content' page

Step 3: In the 'Pre-enrol Learners' field, select the course(s) you want Learners registered to this Membership Product to be automatically enrolled to and click 'Save'.

• If the Membership Product is already enabled (sales status is on), all Learners registered to this Membership Product will be automatically enrolled to the course when you click 'Save'. And all future Learners will be automatically enrolled to the course when they register to this Membership Product.
• If the Membership Product is not enabled (sales status is off), all Learners registered to this Membership Product will be automatically enrolled to the course when you enable the Membership Product (toggle the sales status on). And all future Learners will be automatically enrolled to the course when they register to this Membership Product.

Important: Once you add a course to the 'Pre-enrol Learners' list and Learners are actively registered to your Membership Product, you cannot currently edit this rule from this page. Instead you need to go to the course page and edit the rule in the 'Tailor Access & Pricing Rules' section on the Course Payment page (please see instructions below).

From the Course

You can tailor access rules for Learners registered to specific Membership Products from the course 'Payment' page.

Step 1: Navigate to the Course 'Payments' page.

Step 2: Bulk enrol Learners registered to a specific Membership Product to the course from the 'Tailor Access & Pricing Settings for individual Membership Products' section. 

Select the Membership Product and click 'Add':

Step 3: Once the Membership Product is added to the 'Tailor Access & Pricing Settings' section you can set the rule to 'Auto-enrol' and click 'Save'.

• If the course is already published, all Learners registered to the Membership Product will be automatically enrolled to the course when you click 'Save'. And all future Learners who register to the Membership will be automatically enrolled to the course.
• If the course is not published, all Learners registered to the Membership Product will be automatically enrolled to the course when you click 'Publish'. And all future Learners who register to the Membership will be automatically enrolled to the course.

If you want to stop Learners being automatically enrolled to the course, you can change the default rule at any time. For example if you change it to 'Free' it will stop Learners being automatically enrolled and instead they will need to enrol themselves onto the course from the Catalogue.

But this will NOT unenrol Leanrers from the course. It will just stop new Learners who register to the platform from being automatically enrolled.
