How to edit the Course Enrolment and Course Completion Email
In this article we explain how to edit the emails that a Learner receives when they enrol to a specific course and/or when they complete a specific course.
For example, you may want to add your own tone of voice to the email, share specific instructions about taking the course or actions to take on completion of the course. You can also attach a supporting PDF document or perhaps share a discount code to promote another course.
For each course you can customise the introductory text that appears in the email the Learner receives when they enrol to the course and/or when they complete the course. This allows you to add specific instructions about the course they are about to take, or information about what the Learner should do upon completion of the course as an example.
How to access the Email Editing Tool for each course
To edit the emails for a specific course, go to the course in your 'Courses' List and click on 'Emails' in the left hand menu as shown below.
Editing the emails
On the 'Emails' page you can edit the introductory section of the Course Enrolment email and the Course Completion email. The default text will be automatically displayed for your to edit.
You can also add one PDF attachment to each email if you wish.
Once you edit the emails you must click 'Save' at the bottom of the page. The changes you make will only apply to this specific course.
Note: The remainder of the emails are not editable and include the following information:
- Course Enrolment Email: Details of any specific events such as webinars or face to face lessons that may be included in your course.
- Course Completion Email: A full breakdown of the CPD/Learning time achieved for each module, along with any test/assignment results.
Using Email Variables
By default we include some Email Variables in the Course Enrolment Email and the Course Completion Email.
These variables automatically populate specific details about your site and course within the email which saves you time as it means you do not have to write out the course name or URLs.
You can add these variables into the email body yourself as required, as long as you enter the correct format e.g. {{course.title}}, as shown below:

{{course.title}} | Inserts the name of the course |
{{course.url}} | Inserts the URL the Learner can click to access the course overview page |
Tip: You can use the {{course.url}} email variable within the 'Link' tool to embed a clickable URL in your email to access the course overview page- it will be pre-populated in the case of the course enrolment email as shown below. This allows you to embed the URL that the Learner can click on to access the course overview page in the Learner app.
How to preview the changes you have made to the emails
To preview the emails you can create a Test Learner account and enrol to the course to see the course enrolment email. To see the course completion email you can either take the course as the Test Learner OR force the course complete to trigger the Course Completion Email. Note: If you have disabled the Course Enrolment or the Course Completion emails in 'Settings' > 'Platform Emails' then these emails will NOT be triggered when the Learners enrols to the course or completes the course. So please ensure the feature is enabled to ensure these emails are sent.
