Edit a Learner's Membership Product

This article covers what changing a Learner's membership entails and the steps to do this.

These feature is only available to platforms where the Membership Products feature is enabled.

Whose membership can you change from the Admin Dashboard

If the Learner is registered to a  Free Membership product or a One-time Payment Membership product then the Admin can change the Learner's membership at any time.

For Learners registered to monthly payment products you'll need to make changes directly in Stripe.

What happens when the Admin changes the Learner's membership

When you change a Learner's membership manually:

  • Their Course Catalogue will be updated in line with the new membership content rules (e.g. catalogue auto-enrol and exclusion rules, as well as course pricing rules)
  • The Learner retains access to any courses they were already enrolled to and any courses they previously completed - if you want to unenrol them from a course you'll need to do this manually by disabling their access
  • The Learner will not be charged for the new membership, nor will they be refunded for the old membership - you'll need to manage this externally (e.g. through Stripe)
  • The Learner's planned expiry date will not update to reflect the new membership rules - you'll need to adjust this manually if required (as explained below)

How to change a Learner's membership

Step 1: Navigate to 'Learners' in the header menu and click on the Learner's name to access their Profile & Membership page.

Step 2: Scroll down to the 'Membership Details' section and click the edit icon next to the Learner's current product to open up the edit membership modal.

Step 3: On the modal (as shown below), select the name of the membership you want to move the Learner onto and click 'Update'.

Important: If the current membership has expired OR you want to adjust the expiry date to a date further out in the future you will need to adjust this as well before clicking Update.

The learner will be automatically moved onto the new membership and their profile page will update to reflect this change.
