What is a Face to Face Lesson?

Face to Face Lessons are sessions you are hosting outside of the ClickLMS platform. Using this feature you can manage learner attendance, CPD/Learning Time and certificate generation through the training platform.

This article provides an overview of what the 'Face to Face' feature is and how you add an externally hosted session to a course.


What is the Face to Face Lesson Feature?

Face to Face Lessons are sessions you are hosting outside of the ClickLMS software that you can manage through the ClickLMS platform.

For example you may be hosting a residential training course or you may want to run a Zoom meeting.

You can use your ClickLMS platform to manage enrolments, attendance and the award of certificates for these types of events or sessions.


With the Face to Face Lesson feature you can schedule this external event as part of a course so that:

  • Learners can enrol to (and pay for) the event through the ClickLMS platform
  • Learners will be prompted to RSVP and provide any special requirements in advance of the session
  • You can view and manage attendance prior/during the event
  • You can award CPD/Learning Time for all Learners enrolled to the event
  • You can include additional online training or reading material as part of the same course (e.g. pre-reading or post event assessments)
  • You can automatically issue certificates for the event, reflecting the Learner's CPD/Learning Time

How does it work?

You schedule a Face to Face Lesson as part of a course just like any other type of learning resource (video, PDF, live webinar).

Learners enrol to the course as normal and can optionally RSVP to the Face to Face Lesson at any time prior to the event taking place.

You can view all Learners expected to attend the Face to Face Lesson on the Attendance page - this will include ALL Learners enrolled to the course, not just Learners who have said they are attending - their current RSVP status is clearly displayed on the Attendance page.

On the day of the event (and up to 72 hours after the event ending) you can update Learners' attendance and award the relevant CPD/Learning Time for each Learner.

You will need to end the lesson by clicking the 'End Lesson' button on the attendance page. If this is the last activity in the course it will force the course complete for the Learner and issue their certificate. If there are additional learning resources or assessments, Learners will need to complete these in order to complete the course and receive their certificate.

Important: 72 hours after the event ends the system will automatically end the lesson if you have not clicked the 'End Lesson' button on the attendance page. You will be sent a reminder 48 hours before this takes effect.

How do I schedule a Face to Face Lesson as part of a course?


You schedule a Face to Face Lesson in the same way that you add a video resource or schedule a webinar within a module:


  1. Go to the module overview page in the course and scroll down to the 'Learning Resources' section - this is where you add all your learning content.

  1. Click the 'Add Face to Face' button - you will then be able to schedule details of the event

Note: All fields are mandatory. If you do not yet have a 'Location' you can add placeholder text and update it later.

Important: For Face to Face Lessons you set the duration of the lesson (CPD/Learning Time) in whole hours (e.g. you cannot put 3.5 hours).

Please note that because the course overview page displays minutes we automatically convert this to minutes for you.

  1. Click 'Update' and you will be returned to the module overview page where you will see the Face to Face lesson is reflected in the Learning Resources section (CPD/Learning Time is reflected in minutes here).

Note: You can only have one Face to Face Lesson per module.

If you want to have more than one Face to Face Lesson in a course, you will need to add each one to a separate module.

How do I edit the Face to Face Lesson?

You can edit the the Face to Face Lesson by clicking on the pencil icon alongside the learning resource. Before the Face to Face Lesson is scheduled to begin, you are able to edit all details of the lesson.

If you edit the start date/time or end date/time of the face to face session once the course has already been published, any Learners enrolled to the course will be notified by email.

Once the start date and time of the Face to Face Lesson has passed you will no longer be able to edit the start date/time or end date/time of the event.

You can edit the duration of the event at any time, if for example, the session began later than planned and lasted only 7 hours instead of 8 hours you can update this and it will be reflected when you come to end the Lesson and award Learners CPD/Learning Time for the event.


How do I manage Learner attendance


From the Learning Resources section on the module overview page, you track and manage Learner Attendance by clicking the registrant icon shown in yellow in the image below:

This opens up the Attendance page which shows a list of Learners enrolled to the course, when they enrolled to the course and their current RSVP status which is colour coded and how much CPD/Time they will get for the Lesson when you mark it as complete.

RSVP Status can be changed in two ways:

  1. When Learners enrol to your course they will be prompted to RSVP:
    1. Yes I will be attending
    2. No I will not be attending

Note: If Learners do not RSVP they will just show as 'Not responded'.

  1. You can override the Learner's attendance status using the 'Attendance' toggle:
    1. Green to red: Changes status from 'Attending' to 'Not Attending' and CPD/ Hours will change to 0
    2. Red to Green: Changes status from 'Not Attending' or 'Not Responded' to 'Attending' and CPD/Hours will change from 0 to the max duration available for the Face to Face Lesson


How do I end the Lesson and award CPD/Learning Time


To end the lesson and award CPD/Learning time for the lesson you must click the 'End Lesson, award CPD' button on the Face to Face Lesson Attendance page.

This button will only be active after the start time and date of the Face to Face Lesson - before this time it is not clickable.

Important: BEFORE clicking the button, please check that all your attendees are on the attendance report with the correct CPD/Learning time values. You can manually update these if required.

If anyone is missing from the list it will be because they are not enrolled to the course so you can do this for them from the Learner's 'Course Enrolments' page.

If an attendee only partially attends a session you can also update their CPD/Learning Time to reflect this.

Note: To edit the CPD/Learning Time the 'Attendance' toggle must be green.

Once you are ready to end the lesson click the 'End Lesson, award CPD' button.

The CPD/Learning Time specified against each Learner's name on the 'Attendance' page will be awarded to the Learner and reflected on their course preview page in the Learner app.


If this is the last activity in the course it will force the course complete for the Learner and issue their certificate. If there are additional learning resources or assessments, Learners will need to complete these in order to complete the course and receive their certificate.

Important: If you do not end the lesson by clicking the 'End Lesson' button on the attendance page, the system will automatically end the lesson after 72 hours. You will be sent a reminder before this takes effect.
